Process Flow

In 2024, the Central Ohio Transit Authority (COTA) set out to modernize its operations, reduce complexity across business processes, and improve service performance for the communities it serves, The agency needed streamlined workflows, clear, visual documentation, and a centralized, easy-to-update hub for storing and managing documentation.

Steyer partnered with COTA to guide this effort, bringing together experts in process re-engineering, UX design, content strategy, and technical implementation. Our team used people-first strategies to create scalable, automation-ready solutions for COTA, laying the foundation for ongoing improvements across the organization.

Process Flowchart: We worked in-person with COTA stakeholders at every organizational level to map existing core processes, using Six Sigma/LEAN principles and decades of experience in thoughtful, effective change management to spot and re-design areas of inefficiency. The resulting charts are the basis for fresh SOPs.

Steyer applied a holistic, people-centered lens to every phase of the engagement. We streamlined COTA workflows, clarified and visualized process documentation, and built an intuitive documentation hub. At every stage, we looked for ways to future-proof the work with automation and AI.

  • Re-engineered 27 core business processes in collaboration with COTA stakeholders, aligning workflows with existing systems and eliminating inefficiencies to improve staff experience and data quality.
  • Reduced missing data in data collection efforts from 21% to 6% and improved On-Time Performance from 66% to 75% through redesigned workflows and operational clarity
  • Created visual flowcharts and developed a scalable proof of concept to support SOP adoption, maintenance, and future automation.
  • Designed and launched a centralized documentation hub with intuitive UX, robust governance, and easy update workflows to support long-term process management.
  • Built strong relationships across the agency, earning trust and engagement that led to a contract renewal and an expanded strategic role in COTA’s transformation.
